This Privacy Policy describes how Rootcause, LLC (“Dispatch,” “we,” “us,” or “our”) collects, uses, discloses, and protects information in connection with the Dispatch mobile application (the “App”). It also explains your choices and rights. If you do not agree with this policy, please do not use the App.

  • We do not sell your data or share it for targeted advertising.
  • We minimize collection: most data stays on your device.
  • Reminders and Calendar: accessed only on your device.
  • AI Features: your prompts are securely transmitted to our servers and processed by OpenAI to generate responses.
  • Server Logs & Device Identifiers: retained only for security, authorization, and reliability.
  • Notifications: generated on your device, not our servers.
  • You can delete your data at any time by uninstalling the App or contacting us.

1. Scope

This policy applies to your use of the App on iOS and to any related services we provide in connection with the App, including our AI features routed through server-side endpoints. This policy does not cover third-party websites, apps, or services that are not owned or controlled by us.




2. Personal Information Collected

We designed Dispatch to minimize personal data collection. As of the effective date, we do not require account creation. Most processing happens on your device. However, we may process limited data to enable specific features, maintain security, and improve the App.



2.1 Information You Provide via Interactive Features

  • AI Assistant Prompts and Content: If you use AI features, the text you enter is transmitted securely to our server-side endpoint (e.g., Cloudflare Worker) and processed by OpenAI to generate responses.
  • Support/Feedback: If you contact us (e.g., email, in-app form), we process the contents of your message and contact details.
  • Optional Diagnostics: If you opt in to share diagnostic details for troubleshooting, we process the content you provide.



2.2 Information from Your Device (Local Access and iCloud Sync)

These categories are accessed locally and, unless stated otherwise, remain on your device:

  • Reminders: Access to iOS Reminders to display and manage your tasks.
  • Calendar: Access to your calendar to provide unified task and time management.
  • App Preferences and Settings: Stored locally to remember your configuration.
  • Focus/Usage Statistics: Generated locally to provide insights about your usage.
  • iCloud Sync Data: If you enable iCloud sync, reminders, preferences, and other supported app data may be securely stored in your iCloud account and synchronized across your personal devices. This data is managed by Apple under their privacy policies; we do not have direct access to your iCloud-stored content.



2.3 Information Collected Automatically

We may collect limited technical data to deliver the service, secure our systems, and understand performance:

  • Device Identity and Authorization: A device identifier and basic device fingerprint may be stored securely (e.g., Keychain) and transmitted to our server to validate requests, prevent abuse, and determine trial/purchase state.
  • Server Logs: When you use networked features (e.g., AI requests), our servers may log IP address, timestamps, request metadata, and error codes for security and reliability.
  • Crash and Performance Data: If enabled or gathered via the OS, we may receive crash diagnostics and performance metrics (de-identified where possible) to improve stability.
  • Telemetry Analytics: We use TelemetryDeck to collect anonymized, aggregated usage analytics (e.g., which features are most used, performance patterns). This data does not identify you personally and is used solely to improve app functionality and reliability.



3. How We Use Information

We use information to:

  • Provide and Maintain the App: Operate core features (reminders, calendar integrations, AI responses), ensure availability, and fix bugs.
  • Secure the Service: Authenticate requests using device identity, prevent fraud/abuse, and enforce usage limits.
  • Improve Features and User Experience: Understand performance and enhance functionality based on aggregated or de-identified data.
  • Communicate with You: Respond to support requests, send essential service updates, and notify you of material policy changes.

De-identified and Aggregated Information: We may use and share de-identified and/or aggregated data (which cannot reasonably identify you) for analytics, research, and feature development.




4. Disclosing Information to Third Parties

We do not sell your personal information. We may disclose information as follows:

  • Service Providers (Processors): We use third parties to help operate, secure, and improve the App. These providers are contractually obligated to handle data in accordance with this policy and applicable law. Examples:
    • Cloud Infrastructure & Networking: Cloudflare, for routing AI requests.
    • AI Provider: OpenAI, which processes your prompts to generate responses. Prompts are not used by OpenAI to train its models.
    • Error/Crash Analytics: Apple (via iOS crash reporting).
    • Apple: In-app purchases are processed by Apple (we do not receive your full payment details).
  • Legal Compliance and Protection: We may disclose information if required by law, subpoena, or legal process, or to protect rights, property, users, or the public.
  • Business Transfers: If we are involved in a merger, acquisition, or asset sale, information may be transferred as part of that transaction, subject to this policy.

We strive to limit disclosures to the minimum necessary.




5. Your Privacy Rights

Depending on your location, you may have rights regarding your personal information:

  • Access, Correction, Deletion, Restriction, Objection, Portability, Withdraw Consent.
  • California (CCPA/CPRA): Right to know, delete, correct; no sale/sharing; non-discrimination; authorized agent allowed.

To exercise rights, contact us (Section 13). We may need to verify your identity.




6. Data Retention

  • On-Device Data (reminders, calendar, settings, focus stats): Remains on your device until you delete it or uninstall the App.
  • Device Identity (for authorization/trial enforcement): Retained while you actively use networked features and up to 12 months after last activity.
  • Server Logs (security, reliability): Retained for up to 12 months unless needed to investigate issues or legal matters.
  • Support Communications: Retained for up to 12 months unless required longer by law.



7. Security of Your Information

We implement technical and organizational measures designed to protect information:

  • TLS Encryption in transit for network requests.
  • Least Privilege access to production systems.
  • Monitoring and Alerts for reliability and security.

No method of transmission or storage is 100% secure. We cannot guarantee absolute security.

9. International Data Transfers

If we transfer personal information outside your country or region (e.g., to the United States), we implement appropriate safeguards, such as Standard Contractual Clauses, to ensure an adequate level of protection.




10. Third-Party Applications and Services

  • Apple Reminders and Calendar: Data remains on-device unless included in AI prompts.
  • In-App Purchases: Handled by Apple; we do not receive full payment card details.
  • Push Notifications: Delivered via Apple Push Notification service (APNs). Notification content remains device-generated and not routed through our servers.
  • Cloudflare & OpenAI: AI prompts and related metadata may be processed to deliver responses.

11. Children’s Information

The App is not directed to children under 13 (or under 16 where applicable). We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us (Section 13) and we will delete it.




12. Changes to This Privacy Policy

We may update this policy from time to time. If we make material changes, we will update the “Last Updated” date and, where appropriate, provide additional notice (e.g., in-app). Continued use of the App after changes take effect constitutes acceptance.

14.1 Do we sell or share your information for targeted advertising?

No.

14.2 Can you use the App without networked features?

Yes, with the exception of iCloud syncing if it is enabled. Core reminder and calendar features work both locally and sync via iCloud. AI features require connectivity and involve transmission of your prompts.

14.3 How to delete your data?

  • On-Device: Delete data within the App and/or uninstall the App.
  • Server-Side: Contact us to request deletion of device identifiers and related server logs (subject to Section 6 and legal obligations).
